Every unplanned potluck goes the same way: five people bring dessert, nobody brings a main, and the host makes an emergency run for ice. A sign-up sheet fixes it. Guests see what's already covered and pick something that isn't.
Start with mains, sides, desserts, drinks and supplies already on the sheet
What's on the Sheet
Ten lines and nineteen spots to start. Rename, delete or add anything once it's yours.
Setting Up a Potluck That Works
- Give sides the most spots. They're what people like to bring, and they fill the table. Mains are a bigger ask, so you'll want fewer of them, and you may want to make one yourself.
- Ask for the dish in the note. "Side dish: Marcus" doesn't tell anyone it's a third pasta salad. The note box on every sign-up is for "elote salad" or "gluten-free brownies".
- Leave easy spots for people who don't cook. Ice, plates and cups, serving spoons, folding chairs. Everyone can help, and you won't be short on cups.
- Put allergies on the sheet. Add a line at the top like "Allergies: one guest has a peanut allergy" so it's the first thing everyone reads.
- Send the link with the invite. People sign up when they say yes, which is when they're thinking about it.
Office, Church, School and Neighborhood Potlucks
For a big potluck, raise the spots instead of adding lines: "Side dish" with eight spots stays easier to read than eight separate side-dish lines. For work, post the link in the team channel. For a church or club, use Put this list on a website under the sheet to embed it on your page so people can sign up there.
Takes a few seconds. No account for you or your guests.
Ready-Made Sign-Up Sheets
- Sign-up sheet: blank, for anything (volunteer shifts, class party supplies, carpools)
- Potluck sign-up sheet: mains, sides, desserts, drinks, with room for several people on each
- Thanksgiving potluck sign-up sheet: the classic dishes, turkey to pie
- Christmas list: a gift list where buyers claim presents and the person it's for can't see who claimed what
Questions
Do guests need to download an app or make an account?
No. They open the link in any browser, tap Sign up and type their name. No app, no account, no email address.
Can guests say what dish they're bringing?
Yes. Each sign-up has an optional note, for example "Side dish: Marcus · elote salad", so nobody brings a duplicate.
How many people can sign up for each category?
You choose. Every item has a number of spots. The template starts with four for sides, three for desserts and one for ice, and you can tap the count under any item to change it.
Can I see who hasn't signed up yet?
The sheet shows who has signed up, not who hasn't. It counts filled spots at the top ("12 of 19 spots filled"), so you can tell at a glance what's still open.
